Onboarding to Cadrial

How your agency moves onto Cadrial: the four stages, what to have ready, what to export from the system you use today, and how we look after your data along the way.

Stages4YouOne form + your exportsWeClean, import, set up, train
One form, your exports, and we do the rest.

You tell us how your agency works and send the files you already have, messy or not. We clean them, build your workspace, and show you everything before it goes live.

01How it works

Four stages to go live

You do stage 1. We do the heavy lifting in 2 and 3, and check with you at each step.

  1. Stage 1: Decide & exportThis form
Tell us how your agency works in one online form: your people, territories and teams, the lists you use, your manufacturers and how commissions split. Then upload the exports you already have. It saves as you go, so you can come back to it.
  2. Stage 2: Build
We clean your files, merge duplicates and import them, then set up your territories, teams and access. Anything that needs a decision comes back to you in an Issues list, and you review it before anything goes live.
  3. Stage 3: History & commissions
We bring in the activity and opportunity history you want to keep, load past commission reports, and set up how commissions split at your agency.
  4. Stage 4: Train & go live
We invite your team and run a getting-started session. Everyone installs the Outlook add-in and the Debrief mobile app, and you are live.
02Prepare

What to have ready

None of it has to be perfect. If you don't know an answer, leave it blank and we'll ask.

People & emails

Everyone who needs access, with their work email, office and title, and who owns accounts.

Territories & teams

How your accounts are split (by state, by rep, or your own way) and which group of people covers each.

Your lists

Company and contact types, tags, pipeline stages in order, and the date fields you track.

Manufacturer line card

The lines you represent. A link to your line card or a list of names is enough.

How commissions split

Agency only, per salesperson, per team, or a mix, and how you handle POS and OEM reports today.

Your exports

Companies and contacts from the system you use now. Excel or CSV straight out of it is fine.

03Exports

What to export

The columns we look for in each file. Required columns we can't work without; the rest make the result better. Column names don't have to match.

1 · Companies

One row per company location. Two offices of the same company are two rows.

ColumnNeeded?Notes
Company NameRequiredThe name only, no city tacked on ("Raytheon", not "Raytheon - El Segundo"). Cadrial shows the city next to the name.
AddressNeededStreet address.
CityNeeded
StateNeededTwo letters (CA) or the full name.
ZipNeededThis is how each company is placed in a territory, so please include it.
TypeRecommendedWhatever you use today, e.g. Customer, Prospect, Distributor or OEM. We keep your values as they are.
PhoneRecommendedMain number.
WebsiteRecommended
Rep / SalespersonRecommendedWho owns the account, e.g. the rep's name as it appears in your system. We use it to set territories and owners.
Industry / MarketOptionalBecomes a company tag (e.g. Mil/Aero, Medical).
Parent CompanyOptionalOnly if a location rolls up to a parent that's also in the file.

2 · Contacts

One row per person, in the same export as the companies if possible.

ColumnNeeded?Notes
First NameRequired
Last NameRequiredRows without one (e.g. a "Main" switchboard line) are set aside.
CompanyRequiredMust match the Company Name in file 1 exactly, so each contact lands on the right company.
Company City / StateRecommendedWhich office they work at, when a company has more than one location.
EmailRecommendedLets the Outlook add-in recognize them when you log an email.
Job TitleRecommended
Business PhoneRecommended
MobileOptional
Address / City / State / ZipOptionalOnly if different from the company's.
TypeOptionale.g. Buyer, Engineer or Purchasing.

3 · Manufacturers

The lines you represent. A list of names and websites is enough; we'll look up the rest.

ColumnNeeded?Notes
Manufacturer NameRequired
WebsiteRecommendedWe look up the address and phone from it.
Principal contactsOptionalThe people you work with at each line: name, title, email, phone.

4 · History (optional)

Bring history if you want it in Cadrial from day one. We agree the cut-off with you first.

ColumnNeeded?Notes
Activities / call notesOptionalDate, company, contact, who logged it, and the note text.
OpportunitiesOptionalCompany, manufacturer, part numbers, value, stage, and expected close date.
Last activity dateRecommendedPer company. Lets us leave inactive accounts behind (e.g. nothing in 3 years).
Past commission reportsOptionalThe files manufacturers send you, as they arrive (Excel, CSV or PDF).

Before you export

Excel or CSV is fine. A straight export from your CRM, ACT!, Outlook or a spreadsheet works. One header row, one sheet per file, no merged cells.

Send everything, even if it's messy. We clean names, merge duplicates, fix addresses and match contacts. Anything that needs a decision comes back to you in an Issues list before anything is imported.

Keep ZIP codes as text if you edit the file in Excel, so leading zeros and ZIP+4 aren't lost.

Several offices or reps on one account? Include each location. We match duplicates and link every contact to the right office.

04Your data

How we handle your data

A private link only you have

Your form lives at a link we send to your agency lead. There is no account to create and nothing to guess.

Files go to private storage

Uploads go straight to private storage. There is no public link to any file you send.

Only the Cadrial team sees them

Your answers and files are read by the Cadrial team setting up your workspace, and no one else.

Nothing is imported until you review it

You see the Issues list and sign off before any of your data goes into your workspace.

Your onboarding link was emailed to your agency lead. It looks like onboarding.cadrial.com/i/… and opens your agency's form directly.

Anyone with the link can see and edit your answers, so share it only with people at your agency. Lost it? Ask the Cadrial team for a new one.
